Microsoft 365 Copilot brings a breath of fresh air to daily collaboration – especially when it comes to meetings and task management. Instead of wasting time on manual preparation, note-taking, and follow-ups, Copilot automates many of these steps. This not only saves time, but also ensures greater clarity and structure within the team.

Meeting preparation begins with Microsoft Copilot in Outlook. With one click, Copilot creates a customized agenda based on existing information from Teams chats, previous meetings, and shared files. The suggested topics are not generic, but directly tailored to the context of the meeting. A particularly useful feature is that the agenda can also be shared with external participants – even if they do not have a Copilot license.

Transcription and Facilitator can be activated in Microsoft Teams. This automatically generates structured notes, decisions, and tasks during the meeting. The Facilitator acts as an AI-supported meeting participant: it recognizes agenda items, marks topic changes, records decisions, and supports moderation. Copilot identifies discussed to-dos and creates directly assignable tasks from them. All notes are shared as a Loop component in the Teams chat or channel and are accessible to all team members – even those who were unable to attend.

After the meeting, Copilot creates a complete summary including all points discussed and tasks. These can be assigned directly in Microsoft Planner – including notifications for team members. For external communication, Copilot can generate professional meeting minutes from the transcript in Word, which can be saved and sent as a PDF or Word document.
Another advantage of Microsoft Copilot for task management: Copilot Chat analyzes content from emails, meetings, and documents to identify and prioritize tasks. Planning regular prompts is particularly helpful. For example, you can automatically summarize all open tasks from transcribed meetings and have them sent to you by email every Friday at 10 a.m. This helps you stay organized in the long term.
Microsoft 365 Copilot is more than an AI tool – it’s a real workflow accelerator for meetings and task management. With automated agendas, notes, minutes, and task distribution, your daily work becomes more structured, transparent, and significantly more time-efficient. Those who use Copilot in a targeted manner not only save time, but also gain clarity and efficiency within the team.
