In many companies, customer data is scattered across CRM, ERP, Excel lists, or personal Outlook contacts. The result? No one knows exactly which data set is current. Once the data is synchronized, it appears in your personal Outlook contact folder and, depending on your license, also in the Microsoft Teams Calling tab. Contact Sync works with the Microsoft Graph API and uses modern, key-based authentication via Azure. This means that no service account with a password is required. The basis is simple: you continue to manage your contact data centrally – for example, in a CRM system, an SQL database, a CSV file, or a shared mailbox in Exchange Online. Contact Sync reads this data and automatically distributes it to the Outlook contacts of the desired users.
Control is via group memberships – static or dynamic. This allows you to determine which departments, teams, or locations receive which contacts. If someone is a member of multiple groups, the corresponding contacts are combined.
The entries appear as normal contacts in Outlook for the user. They also have the category “ContactSync” so that they remain clearly recognizable. Personal contacts remain completely untouched. No overwrites, no deletions – only updates within the synchronized category.
This way, Outlook contacts are automatically updated without anyone having to intervene manually. Every change in the source is automatically applied. And if employees leave the company, the synchronized entries simply disappear again – automatically and cleanly.
For users, this means that they can access up-to-date contact information anywhere. In the office, on the road, or in the home office – on any device. Microsoft Teams recognizes callers immediately, Outlook displays complete contact details, and names appear automatically on smartphones as soon as synchronization is activated.
For IT, contact synchronization brings enormous relief. No manual exporting or importing, no risk of data chaos. Synchronization is incremental, i.e., only where something has actually changed. This saves bandwidth and runtime.
The solution supports all modern Microsoft environments – whether Windows or Mac.
Contact Sync has a modular structure and can be adapted to individual needs. Additional fields and special logic are possible. Importantly, personal user contacts remain unchanged – Contact Sync does not make any changes to your own (or personal) contacts.
