Why Are Contacts Not Showing in Microsoft Teams?
Anyone who makes calls using Microsoft Teams is probably familiar with this situation: The phone rings, but instead of a name, only a phone ...

We’ve all been there: a customer calls, but only the phone number appears on the screen. Important contacts are missing from your smartphone. And duplicate or outdated entries appear in Outlook. Precisely because we work with Microsoft Teams today, this problem is more noticeable than ever before—names are missing, callers remain anonymous, and important information is not where it is needed. This is exactly where Contact Sync from TwinCap First comes in. Contact Sync is a simple and cost-effective solution for synchronizing contacts from third-party sources. Thanks to Contact Sync, all relevant addresses are maintained centrally and automatically synchronized in Outlook contact folders (Exchange online). And finally made available in Teams. Simple, secure, and efficient. Synchronize Microsoft Teams contacts – we’ll show you how.
In many companies, customer data is scattered across CRM, ERP, Excel lists, or personal Outlook contacts. The result? No one knows exactly which data set is current. Contact Sync from TwinCap First changes that. The solution brings order to your communication. All contacts from central sources are automatically distributed to the right user groups. This means that contact synchronization in Microsoft 365 works without any extra effort – and you can immediately see who is contacting you the next time you receive a call.
Once the data is synchronized, it appears in your personal Outlook contact folder and, depending on your license, also in the Microsoft Teams Calling tab. This means that names and details are visible for incoming calls – both on your desktop and in the Teams mobile app (if contacts are allowed in the iPhone/Android phone directory).
Contact Sync works with the Microsoft Graph API and uses modern, key-based authentication via Azure. This means that no service account with a password is required. Access rights are minimal, clearly defined, and GDPR-compliant. Synchronization runs on secure Azure computers within the EU – transparent, low-maintenance, and reliable.
The basis is simple: you continue to manage your contact data centrally – for example, in a CRM system, an SQL database, a CSV file, or a shared mailbox in Exchange Online. Contact Sync reads this data and automatically distributes it to the Outlook contacts of the desired users.
Control is via group memberships – static or dynamic. This allows you to determine which departments, teams, or locations receive which contacts. If someone is a member of multiple groups, the corresponding contacts are combined.
The entries appear as normal contacts in Outlook for the user. They also have the category “ContactSync” so that they remain clearly recognizable. Personal contacts remain completely untouched. No overwrites, no deletions – only updates within the synchronized category.
This way, Outlook contacts are automatically updated without anyone having to intervene manually. Every change in the source is automatically applied. And if employees leave the company, the synchronized entries simply disappear again – automatically and cleanly.
For users, this means that they can access up-to-date contact information anywhere. In the office, on the road, or in the home office – on any device. Microsoft Teams recognizes callers immediately, Outlook displays complete contact details, and names appear automatically on smartphones as soon as synchronization is activated.
For IT, contact synchronization brings enormous relief. No manual exporting or importing, no risk of data chaos. Synchronization is incremental, i.e., only where something has actually changed. This saves bandwidth and runtime.
The solution supports all modern Microsoft environments – whether Windows or Mac.
Contact Sync has a modular structure and can be adapted to individual needs. Additional fields and special logic are possible. Importantly, personal user contacts remain unchanged – Contact Sync does not make any changes to your own (or personal) contacts.
Because the solution is based on official Microsoft interfaces, it remains stable and compatible in the long term. The Microsoft Graph API is the standard way for secure and modern integration into Microsoft 365. This ensures that your contact synchronization is always up to date.
Whether you want to synchronize Microsoft Teams contacts, keep Outlook contacts up to date, or connect central data sources, Contact Sync offers everything you need to bring order and efficiency to your communication.
The setup costs for Contact Sync depend on the number of data sources and individual requirements. Ongoing operation is billed according to synchronized users (in CHF or EUR, minimum quantity: 10 users). For larger installations (250 users or more), TwinCap First offers individual price scales.
In the end, it’s the result that counts: Contact Sync ensures up-to-date, consistent, and secure contact data – centrally maintained, automatically distributed, and available everywhere. You reduce sources of error, avoid redundant maintenance, and improve collaboration across the entire company.
With Contact Sync from TwinCap First, contact synchronization in Microsoft 365 becomes a real productivity booster – simple, transparent, and 100% Swiss Made.
