Initial situation: Easy Lookup teams

Easy Lookup is a simple and cost-effective solution for integrating third-party sources into Teams telephony.

  • Companies face the challenge that contact details for customers, suppliers and partners are often not available centrally in all systems, especially in the case of team telephony and on mobile devices.
  • Employees manage their personal contacts in Outlook or on their mobile devices themselves, but do not want to have customer contacts on their private mobile devices.
  • Callers may not be recognized and information may have to be requested.
  • The quality of the contacts is not guaranteed if employees update them themselves.
  • Information is often lost when an employee leaves
  • Caller ID is not available on end devices because not all contacts are stored in the personal contact folder. Not even work colleagues are recognized.

With Teams Easy Lookup, we offer a simple solution that also enables reliable and customizable caller identification without the need for additional software.

Frequently asked questions

How does Teams Easy Lookup work?

You receive an external call via Teams Direct Routing. The call is sent to our backend. This forwards the caller number to any source (e.g. a CRM system or a public source such as Search.ch) and searches there for matching entries for the caller number. If a matching entry is found, Teams Easy Lookup reports the name of the person or company back to our system. This then inserts the caller’s name before the call is sent to your Teams client. You can then see in Teams who is calling or has called you.

What are the requirements for connecting your own CRM or ERP?

In principle, your CRM or ERP must have an interface that can be accessed via the public internet. Ideally, your system will offer a REST API. However, connections with other technologies are also possible (CSV, SharePoint, mailbox, SQL Server, etc.).

What can I do if I need more than 1000 queries per month for Search.ch?

This is also possible, but requires an additional contract with Directories Data AG and incurs additional costs. Please contact us for further information.

Can I also see the caller’s name for missed calls?

Yes, the caller’s name also remains visible in the call history in Teams.

What happens if I have saved a number as a contact?

If you have saved a number as a contact in your Exchange Online (Outlook) contact or as a contact on your smartphone, the name of the saved contact will always be displayed. The result of Teams Easy Lookup will be ignored. However, a request will still be made, which counts towards the monthly API quota (Search.ch).

Is there a limit to how many characters can be sent?

You can send up to approx. 90 characters. However, this is not recommended, as it becomes confusing, especially on clients with scrolling text, such as smartphones. Forced line breaks are not possible.

What happens if no information is found?

In this case, the caller’s number is displayed with an additional note [No Results]. This way, you can see immediately that the number cannot be found on Search.ch.

What happens if multiple entries are found for a number?

In rare cases, there may be several entries for a single number. This occurs, for example, when a company has several locations but only the main number is published. In this case, we simply provide you with the first result.

What information can be accessed by everyone?

By default, we provide you with the name of the person or company and the location. However, in principle, all information that can be requested via the API can be displayed. This means that you can also provide/display further information, such as whether a caller is an existing customer or has their own customer number. Provided that you connect your own system.

Does caller ID also work when my main number is called?

Yes. The recognition is done per number in teams and not per user. If you have a call queue with multiple users, all users will see who is calling.

Which devices is Teams Easy Lookup compatible with?

Teams Easy Lookup is compatible with all Teams clients. This means that you can see who is calling on your desktop, on the web, on iOS, Android and on Teams-certified desk phones.

Is there a noticeable delay in incoming calls?

No. The query takes place within milliseconds.

How long does it take to implement Teams Easy Lookup?

The activation usually takes about 1 hour if you already have an API key. (Standard version with Search.ch)

Do I need Easy Lookup software for teams?

No. Teams Easy Lookup is a cloud service and works completely without software. You don’t have to install or configure anything on your client.

Are there any other requirements?

If you are already a Teams Direct Routing customer and, for example, have a Search.ch API key, you do not need to do anything else. If you want to use your own CRM or ERP, it must fulfill certain requirements (see below).

Which providers can I use Teams Easy Lookup with?

For Teams Easy Lookup to work, you must obtain Teams Direct Routing telephony from us. It is not possible to connect to third-party providers.

Why do I see a different name for the caller than the one registered with Search.ch?

If the caller also uses Teams Direct Routing, Teams recognizes that they are also a Teams user. In this case, Teams prefers the information that comes from the other Microsoft tenant’s Azure AD and ignores the information sent by Teams Easy Lookup.

Can I combine results from different sources?

Yes. For example, we can first check your CRM or ERP and only search Search.ch if no data is found.

Is there a limit to the number of API requests that can be made to Search.ch?

With the free API key from Search.ch, you can make 1,000 requests per month. (Recognize 1,000 incoming calls)

Which sources are compatible with Teams Easy Lookup?

In the standard version, we link Search.ch for you. However, it is also possible to link your own sources, such as a CRM or ERP.
