What are the advantages of the Microsoft 365 Backup Service?

There are several advantages associated with using a “backup-as-a-service” solution such as Veeam Backup for Microsoft 365:

Can I exchange licenses for users?

Veeam counts managed users for whom at least one restore point has been created in the last 31 days. You place your users in a group and the user is then counted as a license. If you remove the user again, no further fees will be charged for this user from the following month.

What counts as a user?

The number of licenses required depends on the number of users in your Microsoft 365 subscription. Users do not have to be counted more than once if they use different Microsoft 365 services (e.g. a user who uses Exchange Online, SharePoint Online and OneDrive for Business is considered one user for Veeam Backup. Shared mailboxes and resources are not subject to a charge.

Why does Microsoft 365 need a backup?

Although Microsoft 365 is a cloud-based solution and Microsoft guarantees the security of the infrastructure, companies still need to carry out their own backups to fully protect their data. There are several reasons why this is necessary:

  • Protection against human error: Users can accidentally delete or overwrite data, which can lead to permanent data loss. A backup ensures that users can restore their data when they need it
  • Protection against ransomware and malware: Ransomware and malware can infiltrate cloud services such as Microsoft 365 and delete or encrypt data. A backup ensures that users can restore their data if they are affected by ransomware or malware
  • Long-term data archiving: Microsoft 365 is a subscription-based solution, and when a company cancels a user’s subscription, the data is usually deleted after 30 days. A backup allows companies to store their data for the long term and ensure that it is always available.
  • Compliance requirements: Many industries have strict compliance requirements that dictate that certain data must be stored for long periods of time. A backup allows users to fulfill these requirements by storing their data for the long term.

Overall, a backup for Microsoft 365 is essential to ensure that users can fully protect and recover their data when they need it.

How is the Veeam backup solution billed?
  • In principle, CHF 6 per month is charged per Azure AD user, but prices depend on the number of users/data – contact us for a customized offer
  • A data backup of the customer’s Microsoft 365 tenant is made daily.
  • A maximum of one tenant with “Data Residency” Western Europe (DE/CH/FRA/AT/NL) is backed up.
  • The data is stored and processed in Microsoft data centers located in Switzerland, and all data is encrypted.
  • Access to the systems is restricted to employees of TwinCap First AG and TwinCap First (Deutschland) GmbH and is audited.
  • The data carriers used for data backup are designed to be locally redundant (and also geo-redundant if required)
  • The customer does not have access to the administration of the solution (restore access is possible for larger volumes)
  • The time required for restorations is billed monthly at the agreed hourly rate, based on the actual time spent on the work.
What are the limitations?
  • All Azure AD users in the AD group “TCFVeeamBackup” are included in the data backup. The group is created by the customer and the members are to be managed by the customer.
  • The offer includes up to 2 TB of data that is backed up.
  • For each additional (partially used) 1 TB that exceeds the above limit, CHF 15 per month will be charged.
  • Microsoft Teams Team Chats are not included, but this function can be activated as an option if required. Team Chats are then billed via the customer’s Azure plan, as Microsoft charges for the API used.
  • Microsoft Teams private chats (1:1, 1:n) cannot be backed up
  • The following workloads are secured: SharePoint, OneDrive, Exchange Online, Teams Team data/tabs (chats are subject to a fee, see above)
  • Restores are included up to 2 TB per year, additional data volumes will be charged at CHF 50 per TB
