The challenge: Collecting & managing customer requests at a central location

Hospitality Experience AG was on the hunt for a way to manage “special requests” from EM guests in one place and generate reports for game days.

The goal was to pull together and enhance data from various systems to create a solid foundation for the experts at Hospitality Experience AG to do their work.

On top of that, the system had to be able to map multi-venue series, have approval processes, and make sure the data is all good to go.

With not much time to spare before the tournament started, we had to find a solution that would meet the requirements and help the staff with their daily work.

The solution: an app, automated workflows, robust data storage. Implemented on the Microsoft Power Platform

Given the requirements, the decision was made in favour of the Microsoft Power Platform. The Power Platform has everything you need to bring together data from different systems and formats, store it securely and create a user-friendly app to support employees in their work process. The low-code approach means we can get this up and running in no time.

Dataverse is the central data storage for the “Special Requests” solution, which has loads of security features and is perfect for handling all that data. Data Flows were used to bring the data from the source systems together. In data flows, data transformations with power queries can be implemented really easily and the processed data can be saved efficiently in the corresponding Dataverse tables.

We’ve rolled out a new app for recording and managing special requests using Power Apps. We used a canvas app to map out the complicated multi-venue processes and show them to employees in a way that was easy to understand. The search function was really powerful, so you could find data records in seconds. All the functions you needed to manage customers’ special requests were there too.

The matchday export function meant that all confirmed special requests could be made available to stakeholders at any time, which made sure everything ran smoothly for the respective football match.

We worked with TwinCap First AG on a project that was really effective and rewarding. The employees were super committed and had a lot of expertise, which helped us get the “Special Requests” solution up and running in a short time.

The PowerApps solution that TwinCap First set up was quick to implement and perfectly suited to our complex multi-venue use case.
